Production picking list verification via mobile device

Before consuming material for a manufacturing operation, production operators may need to verify that all the appropriate materials are available in the manufacturing location for the execution of the production process and their status is still compliant with the purpose of the process (for example, R&D, clinical manufacturing, commercial).

For pharmaceutical and clinical supply companies that are focused on researching innovative products and conducting experimental testing, consuming materials that were not originally planned for a specific production order is common as well. Therefore, users often need to run a verification step before the actual consumption, reviewing the material’s specifications and evaluating whether it is suitable for the manufacturing operation.

To cover these requirements, Life Sciences Warehouse Management allows users to verify if a specific material is included in an existing production order and to check its information by scanning the batch or sub-batch number using a mobile device. For this purpose, create a mobile device menu item with an Activity code set to Production picking list verification in the Mobile device menu items form (Warehouse management > Setup > Mobile device > Mobile device menu items).

Note

Production picking list verification via a mobile device is applicable for batch orders with the Status set to Started. It is a non-mandatory step that does not impact the standard batch order processing, even if an error or a warning is displayed.

Once the menu item is accessed on the mobile device, users are prompted to scan/enter the Prod ID corresponding to the production order/batch order number and then the barcode of the Item number, Batch number, or Sub batch number of the component to be verified.

Scenarios

The following scenarios may apply:

  • If users enter an Item number, the system asks to scan/enter the lowest inventory dimension for the item depending on the tracking dimension group (that is, the Batch number for a batch-managed item or Sub batch number for a sub-batch managed item).

  • If users enter a Batch number of a batch-managed item, the system populates the corresponding Item number and Product name. If the batch number is not unique in the system (that is, the same ID is used for different items), the system prompts the user to scan/enter the Item number to identify the correct combination.

  • If users enter a Batch number of a sub-batch managed item, the system populates the corresponding Item number and Product name and prompts the user to scan/enter the Sub batch number.

  • If users enter a Sub batch number, the system populates the corresponding Item number and Product name.

Controls

When the material is identified, the system performs the following controls:

  • Verifies that the material is included in the picking list journal lines of the batch order. The system returns a warning message if the item/batch/sub-batch is unavailable in any picking list journal line.

  • Validates the expiration date for batches and sub-batches, according to the Allow expired batch and Allow expired sub batch parameters (Production control > Setup > Production control parameters > Production consumption tab):

    • If the parameters are enabled and the scanned batch or sub-batch is expired, a warning message is displayed.

    • If the parameters are disabled and the scanned batch or sub-batch is expired, an error message is displayed.

  • Validates the best before date for batches and sub-batches, based on the item’s Best before date check method:

    • If the item’s Best before date check method is set to No check and the scanned batch or sub-batch has crossed the Best before date, no error/warning message is displayed.

    • If the item’s Best before date check method is set to Warning only and the scanned batch or sub-batch has crossed the Best before date, a warning message is displayed.

    • If the item’s Best before date check method is set to Not allowed and the scanned batch or sub-batch has crossed the Best before date, an error message is displayed.

  • Validates the shelf advice date for batches and sub-batches, based on the item’s Shelf advice date check method:

    • If the item’s Shelf advice date check method is set to No check and the scanned batch or sub-batch has crossed the Shelf advice date, no error/warning message is displayed.

    • If the item’s Shelf advice date check method is set to Warning only and the scanned batch or sub-batch has crossed the Shelf advice date, a warning message is displayed.

    • If the item’s Shelf advice date check method is set to Not allowed and the scanned batch or sub-batch has crossed the Shelf advice date, an error message is displayed.

  • Validates the use code assigned to the material against the intended use code of the batch order, based on the Use code matrix configurations and on the item’s Approved use code check method:

    • If the item’s Approved use code check method is set to No check and the scanned batch or sub-batch is unsuitable for the current production, no error/warning message is displayed.

    • If the item’s Approved use code check method is set to Warning only and the scanned batch or sub-batch is unsuitable for the current production, a warning message is displayed.

    • If the item’s Approved use code check method is set to Not allowed and the scanned batch or sub-batch is unsuitable for the current production, an error message is displayed.

  • Validates if sub-batches are blocked. If the scanned sub-batch is blocked, an error message is displayed.

  • Validates if the batch disposition code is suitable (that is, verifies the Block verification of component parameter in the Batch disposition master form). An error message is displayed if the scanned batch (or the parent batch of the scanned sub-batch) has a disposition code that blocks the verification of components.

  • Validates the batch disposition status of the material, based on the item’s Batch disposition status check method:

    • If the item’s Batch disposition status check method is set to No check and the scanned batch (or the parent batch of the scanned sub-batch) has the Batch disposition status set to Unavailable, no error/warning message is displayed.

    • If the item’s Batch disposition status check method is set to Warning only and the scanned batch (or the parent batch of the scanned sub-batch) has the Batch disposition status set to Unavailable, a warning message is displayed.

    • If the item’s Batch disposition status check method is set to Not allowed and the scanned batch (or the parent batch of the scanned sub-batch) has the Batch disposition status set to Unavailable, an error message is displayed.

Note

All the error messages are displayed together, and all the warning messages are displayed together. If both warnings and errors should be displayed, the mobile device displays only the errors.
