Create and manage tasks for work order lines.

You can use tasks to build work order templates or add them to existing work orders. All linked setups transfer to the work order line. This includes the status group, item requirements, and the work order checklist.

You must link each task to a status group. This setup is mandatory.

Link each task to a task type:

  • Tasks with the task type 'Service' appear on the service plan board.
  • Tasks with other task types appear on the transport plan board.

Once you create a work order with the correct setup, the tasks appear on the relevant graphical plan board for resource planning.

Use the transport plan board to plan delivery and load tasks.

Use the service plan board to plan service tasks, such as maintenance and repair. You can also plan transport tasks on this board.

In the Task type field, select an option. Note: Choose one of Transport Plan Board related tasks type: Delivery, Internal delivery, Load, or Internal load 6. In the Status group field, enter or select a value. 7. Click Save. Define posting status setup Define posting status setup You can configure the posting status tab on a task to automate document posting when a task reaches a specific status. For example, when a rental delivery task is marked as completed on the transport plan board, a packing slip is posted automatically if Auto-post is enabled. If completed through the MobileApp, the same rule applies. If Auto-post is disabled, a manual Post packing slip window opens to complete the process. Procedure 1. Go to Work order project planning > Setup > Tasks. 2. In the list, find and select the desired task. 3. Select Yes in the Auto-post (sub) rental documents field. 4. Click Add. Note: Repeat steps 7-14 if based on different statuses multiple posting of related documents are required. 5. In the Auto-post (sub) rental documents field, select an option. 6. In the list, mark the selected row. 7. In the Status field, select an option. 8. In the Sub status field, select an option. 9. Select the Auto-post check box. Note: Skip the step if the document must not be auto-posted and only a pop-up window offering to post the document must appear. 10. In the Show all lines field, select an option. 11. Click Save. Define rental transaction setup Define rental transaction setup Use the rental transaction tab on a task to link work order line statuses to rental sub-statuses. This is an optional setup. For example, when a work order line is updated to “Created”, the related rental order status can automatically change to “Ordered”. This setup is essential for updating rental asset availability during maintenance and repair tasks, which are usually not tied to rental orders. To enable updates, define rental sub-statuses on work order line sub-statuses and set up asset availability triggers for the task. Procedure 1. Go to Work order project planning > Setup > Tasks. 2. In the list, find and select the desired record. 3. Select Yes in the Synchronize field. 4. Click Add. Note: Repeat steps 7-10 to set up all required relations between the work order line status and the rental sub status. 5. In the list, mark the selected row. 6. In the Work order line status field, select an option. 7. In the Rental sub status field, select an option. 8. Click Save. The items are added to the work order line when you create the work order with the linked task. Each line in the item requirements must include the item, the required quantity, and the unit. Add work order task checklist Add work order task checklist You can set up a checklist for each specific task. Each line includes a group ID and sub task ID to identify the type of check. Include a short description for each check. Examples include: check damages repaired, ensure object is working, refill fuel, and verify safety standards. You can add checklists line by line or as sub task groups. Multiple groups can be added to the same work order task checklist. Sub task groups are explained in the related activity: Create sub tasks group. On the work order line, you can access the checklist, maintain existing checks, and create new ones. You can mark each checklist item as passed or failed from the work order line or in the MobileApp. Procedure 1. Go to Work order project planning > Setup > Sub tasks. 2. Click New. 3. In the Group ID field, type a value. 4. In the Description field, type a value. 5. Click New. 6. In the Sub task Id field, type a value. 7. In the list, mark the selected row. 8.
