Sample preparation via dispensing order

STAEDEAN Life Sciences allows users to trigger the automatic creation of a dispensing order for sampling directly from the quality order through the Create dispensing order button in the Quality orders form (Life Sciences Quality Control & Assurance > Quality management > Quality orders). The Dispensing order checkbox in the quality order header is enabled if a dispensing order exists for the selected quality order, thus allowing the user to easily identify the quality orders for which the dispensing order is yet to be created.

The dispensing order cannot be generated if:

  1. The quality order is destructive (that is, the Destructive test parameter is enabled).

  2. A dispensing order is already available for the selected quality order.

  3. The item number in the quality order has Dispensing type set to None.

The automatically generated dispensing order (Inventory management > Dispensing > Dispensing orders) is used for sample preparation and contains the following information:

  1. Reference number: reference with the quality order number.

  2. Site: inherited from the quality order inventory dimensions.

  3. Warehouse: inherited from the quality order Sampling warehouse.

  4. Item number: item to be sampled, inherited from the quality order Item number.

  5. Batch number: batch to be sampled, inherited from the quality order Batch number.

  6. Sample quantity (that is, Target quantity field):

    1. Inherited from the quality order Quantity, if the item sampling is of type Percent or Fixed.

    2. Inherited from the Quality order sampling (Life Sciences Quality Control & Assurance > Quality management > Quality orders > Inquiries > Quality order sampling) if the item sampling is of type Advanced.

  7. Tolerance: inherited from the Tolerance defined for the item.

  8. Unit: equal to the item Inventory unit.

    Note

    The quantity is converted if the quality order quantity has a different unit of measure than the Inventory unit (that is, Sample unit).

  9. Sub batch type: defines the sample type (for example, retain).

  10. Inherited from the Sub batch type in the Item samplings form, if the item sampling is of type Percent or Fixed.

  11. Inherited from the Sub batch type in the Quality order sampling form, if the item sampling is of type Advanced.

  12. Adjust to zero: If this parameter is enabled, the quantity of the sample is automatically written off via an adjustment journal after the weighing operation. The Adjust to zero parameter is a property of the Sub batch type.

  13. Ignore parameters:

    1. Stopped sub-batch: Enabled to allow weighing a stopped sub-batch. For dispensing orders created from a quality order, it is enabled by default.

    2. Expiration date: Enabled to allow weighing an expired sub-batch. For dispensing orders created from a quality order, it is enabled by default.

    3. Batch disposition code: Enabled to allow weighing a sub-batch of a not-released batch. For dispensing orders created from a quality order, it is enabled by default.

All the fields and parameters described above can be edited.

A dispensing operator must execute the same steps as per a standard weighing process. Controls during the sub-batch identification step can be skipped based on the dispensing order line setup.

At the end of a weighing operation, if the Adjust to zero parameter is enabled for the dispensing order line, the quantity of the target sub-batch is written off by the system through an adjustment journal.  The adjustment journal is posted by the same user who executed the dispensing operation (that is, The Posted by field is populated with the User ID of the dispensing user that executed the dispensing operation).
