Restrictions on vendor batch dates

By using the Reset vendor batch details option in the Reset tab of the Batches form (Inventory management > Inquiries and reports > Tracking dimensions > Batches), users can enter the manufacturing date and expiration date provided by the vendor and use them as the actual Manufacturing date and Expiration date of the batch.

Life Sciences Supply Chain Management extends the standard Microsoft Dynamics 365 Finance & Supply Chain Management feature to allow users to decide whether the system should automatically recalculate the other shelf-life dates when the vendor batch date and vendor expiry date are entered.

Scenario 1 – Use vendor batch date

If a user enters the Vendor batch date, enables the Use vendor batch date parameter, and confirms by clicking OK, the Update shelf life dates dialog is displayed and asks the user whether other shelf-life dates shall be re-calculated.

By clicking Yes, the user can let the system automatically recalculate the other shelf-life dates starting from the Vendor batch date (that is, the new Manufacturing date). The batch dates are recalculated based on one of the following rules, depending on the item setup:

  • Shelf advice date:

    • Shelf advice date = Vendor batch date + Shelf advice period in days.

    • Shelf advice date = Vendor batch date + shelf-advice period in Shelf advice date calculation advanced batch date calculation.

  • Expiration date:

    • Expiration date = Vendor batch date + Shelf life period in days.

    • Expiration date = Vendor batch date + shelf-life period in Expiration date calculation advanced batch date calculation

  • Best before date:

    • Best before date = Expiration date – Best before period in days.

    • Best before date = Expiration date – best-before period in Best before date calculation advanced batch date calculation.

  • Destroy by date:

    • Destroy by date = Vendor batch date + Destroy by period in days.

By clicking No, the shelf-life dates are not recalculated. The system verifies if the Vendor batch date (that is, Manufacturing date) is later than any of the other dates (Shelf advice date, Best before date, Expiration date, and/or Destroy by date) and returns an error message for any date that is earlier than the Vendor batch date.

Scenario 2 – Use vendor expiry date

If users enter the Vendor expiry date, enables the Use vendor expiry date parameter, and confirm by clicking OK, the Update shelf life dates dialog is displayed.

By clicking Yes, the user can let the system automatically recalculate the other shelf-life dates. The Best before date will be recalculated starting from the Vendor expiry date (that is, the new Expiration date). The batch dates are recalculated based on one of the following rules, depending on the item setup:

  • Shelf advice date:

    • Shelf advice date = Manufacturing date + Shelf advice period in days.

    • Shelf advice date = Manufacturing date + shelf advice period in Shelf advice date calculation advanced batch date calculation.

  • Best before date:

    • Best before date = Vendor expiry date – Best before period in days.

    • Best before date = Vendor expiry date – best-before period in Best before date calculation advanced batch date calculation.

  • Destroy by date:

    • Destroy by date = Manufacturing date + Destroy by period in days.

The system will then verify:

  • If the Vendor expiry date (that is, Expiration date) is earlier than the Manufacturing date, the system will return an error message.

  • If the Best before date is earlier than the Manufacturing date, the system will set the Best before date to blank.

  • If the Vendor expiry date (that is, Expiration date) is earlier than the Shelf advice date, the system will set the Shelf advice date to blank.

By clicking No, the shelf-life dates are not recalculated. The system verifies if the Vendor expiry date (that is, Expiration date) is earlier than the Manufacturing date, Best before date, and/or the Shelf advice date and returns an error message for any date that is later than the Vendor expiry date.

Scenario 3 – use vendor batch date and vendor expiry date

If users enter both the Vendor batch date and Vendor expiry date, tick the Use vendor batch date, and Use vendor expiry date checkboxes and confirm by clicking OK, the Update shelf-life dates form is displayed.

By clicking Yes, the user can let the system automatically recalculate the other shelf-life dates. the Shelf advice date and Destroy by date will be recalculated starting from the Vendor batch date (that is, the new Manufacturing date). the Best before date will be recalculated starting from the Vendor expiry date (that is, the new Expiration date). The batch dates are recalculated based on one of the following rules, depending on the item setup:

  • Shelf advice date:

    • Shelf advice date = Vendor batch date + Shelf advice period in days.

    • Shelf advice date = Vendor batch date + shelf-advice period in Shelf advice date calculation advanced batch date calculation.

  • Best before date:

    • Best before date = Vendor expiry date – Best before period in days.

    • Best before date = Vendor expiry date – best-before period in Best before date calculation advanced batch date calculation.

  • Destroy by date:

    • Destroy by date = Vendor batch date + Destroy by period in days.

The system then verifies if the Vendor batch date (that is, Manufacturing date) is later than the Best before date and if the Vendor expiry date (that is, Expiration date) is earlier than the Shelf advice date and returns an error message for any date that is earlier than the Vendor batch date or later than the Vendor expiry date.
