Inventory reconciliation

The Life Sciences Weighing and Dispensing module allows for the reconciliation of the components to the inventory after Life Sciences Weighing and Dispensing, thus ensuring the correct amount of the remaining on-hand quantity. Any significant or unusual discrepancy observed during reconciliation should be investigated and satisfactorily accounted for before release.

One of the following three scenarios can occur:

  • Scenario A – The actual quantity of the sub-batch is less than the theoretical quantity, and the sub-batch is declared as empty during the weighing operation.

  • Scenario B – The actual quantity of the sub-batch is less than the theoretical quantity, and the sub-batch is declared as not empty during the weighing operation.

  • Scenario C – The actual quantity of the sub-batch is greater than the theoretical quantity and within the acceptable tolerance range.

The outcome of each scenario depends on the enabled features:

  • Enable subdivision and Dispensing order parameters are unticked in Inventory and warehouse management parameters form > Life Sciences Weighing and Dispensing FastTab:

    • Scenario A – An adjustment journal is posted to write off the remaining quantity in the sub-batch.

    • Scenario B – No adjustment journal is posted.

    • Scenario C – An adjustment journal is posted to increase the on-hand up to the weighed quantity.

  • Enable subdivision and Dispensing order parameters are ticked in Inventory and warehouse management parameters form > Life Sciences Weighing and Dispensing FastTab:

    • Scenario A – An adjustment journal is posted to write off the remaining quantity of the original sub-batch, and a transfer journal is posted to move the weighed quantity from the original sub-batch to the new target sub-batch.

    • Scenario B – No adjustment journal is posted for the original sub-batch. A transfer journal is posted to move the weighed quantity from the original sub-batch to the new target sub-batch.

    • Scenario C – An adjustment journal is posted to increase the on-hand of the original sub-batch up to the weighed quantity, and a transfer journal is posted to move the weighed quantity from the original sub-batch to the new target sub-batch.

If the sub-batch is declared empty, but the quantity to adjust out is reserved against other orders, the system displays an error message.

Users can click:

  • Retry – The system checks again if the reservation conflict has been resolved. If yes, it displays the next screen. If no, it displays the same error message again.

  • Cancel – The operation is recorded in “Error” status, and the error message is recorded in the log. A new line is available to be executed for the total original quantity.

All the adjustment journals and transfer journals in the above scenarios are posted by the same user who executed the dispensing operation (i.e., The Posted by field is populated with the User ID of the dispensing user that executed the dispensing operation).
