You can set up a notification email to inform a user when they are assigned a role that gives access to sensitive data. The email is sent to that user and, if defined, to other users as well.

The email notification is sent if you:

  • Assign a role to a user.
  • Approve a security request of type Assign role to user.
  • Assign a stand-in role to a user.

Note: If no applicable notification setup exists, no email is sent.

Standard procedure

1. Go to Security and compliance > Setup > Email Notification Setup > Sensitive role notification setup.
2. Click New.
3. In the Setup name field, type a value.
4. Define the email template for the notification.
You can define your email templates in System administration > Setup > Email > System email templates.
In the Notification template email field, enter or select a value.
5. You can send the notification email to a user who is assigned a role that gives access to sensitive data. The email is sent to the address defined for the user in the user setup.
Select Yes in the Notify user field.

Note: If you select No, the user is not notified. If additional users are defined, only they receive the notification.

6. In the Description section describe the notification email setup.
7. Define the roles that give access to sensitive data for which a notification email is sent when assigned to a user.
In the Sensitive roles section, click Add.

Note:

You can:

  • Select only roles that give access to sensitive data.
  • Define each role in only one email notification setup.

8. In the Role name field, enter or select the desired role.
9. Sub-task: Set up other user to be notified.
9.1 You can define other users who receive the notification email when a defined role is assigned to a user.
