You can register the spare parts that you use doing a work order task.

You can scan a barcode or manually enter the item number or serial number of the used spare part.

When you:

  • Save the entered spare part, an entry is created on the Parts tab, in the Spare Parts section.
  • Post the spare part entry, in D365 F&SCM, in the Work order line transactions, a transaction is created of registration type 'Item'. Note: If you are working offline, the transaction is not created in the Work order line transactions until you are back online.


Standard procedure

1. On the Booking page, open the Parts tab.
2. Subtask: Scan barcode.
  2.1 To register a spare part, you can scan a barcode of an item number or serial number.
  On the Spare Parts section header, tap Scan Item.
 

Note: On a mobile phone, tap the overflow menu [...] button of the Spare Parts section header, and tap Scan Item.

  2.2 Point you mobile device camera at the barcode.
 

Note: When a barcode is scanned, a green line is shown on your camera. Automatically, the New Spare Part page is opened.

  2.3 On the New Spare Part page, review the scanned item information and, if desired, make changes.
  2.4 Tap Save & Close.
 

Note: If the item is not shown in the Spare Parts section, tap Refresh.

3. Subtask: Manually register a spare part.
  3.1 On the Spare Parts section header, tap the overflow menu [⋮] or [...] button > New Spare Part.
  3.2 On the New Spare Part page, fill in the fields.
 

Note: In the Product field, you can enter the product name of the spare part.

  3.3 Tap Save and tap Go Back [<].
 

Note: On a Windows device or browser, tap Save & Close.

Notes

  • You can:
    • Change a registered spare part. To do so, in the Spare Parts section, double-tap (tablet or Windows device) or tap (mobile phone) the spare part in the list. On the Spare Part page, you can make changes.
    • Delete a registered spare part. To do so, in the Spare Parts section, select the spare part and tap Delete Spare Part.
    • Post the related work order line transaction journal for a registered spare part. To do so, select the spare part and tap Post Journal. Note: Usually, spare parts registrations are posted automatically when you complete a work order task. If desired, you can post the spare part registrations intermediately.
  • You can delete or post several selected spare parts at once. Select the desired spare parts and tap Delete Spare Part or Post Journal. Note: On a mobile phone, on the Spare Parts section header, tap the overflow menu [...] button, and tap Select. In the list select the desired spare parts. Again, on the Spare Parts section header, tap the overflow menu button and tap Delete Spare Part or Post Journal.
  • You can only do the following if the related work order line transaction in D365 F&SCM is not posted:
    • Post a journal for a spare part.
    • Change a spare part.
    • Delete a spare part.
