Update test group version in quality orders

Product specifications (test groups) frequently change and need regular updates, particularly in Research and Development. If the Use current test group version parameter is enabled for the quality association, any new quality order will use the latest test group version once it is activated.

If quality orders are already created, they keep using the earlier test group version – even if those orders haven’t been processed yet. Being able to automatically update these orders to match the latest product specification is crucial, especially when test groups change often or when orders are planned far ahead (like for stability studies).

Authorized users can refresh the test group for open quality orders by clicking the Update test group version button in the Quality orders form (Life Sciences Quality Control & Assurance > Quality management > Quality orders). After confirmation, the system applies the active test group version to the quality order, and updates the order lines accordingly.

Here are some important considerations:

  • The quality order header information is not modified when the test group version is updated (e.g., Item sampling, Reduced test group, Quantity, Update batch disposition code).

  • If there are results entered and reviewed in the quality order (i.e., the Reviewed checkbox is ticked), the system does not allow for the test group version to be updated.

  • If there are results entered and not reviewed in the quality order (i.e., the Reviewed checkbox is not ticked), the results are maintained after the update of the test group version, and the test outcome is recalculated against the updated test acceptance criteria.

  • If there is an entered result for a test that is available in the quality order but not in the new test group version, the system does not allow for the test group version to be updated.

  • It is not possible to update the test group version if the quality order is closed (i.e., “Pass” or “Fail”).
