Manual quality orders

Pharmaceutical and chemical companies sometimes need to perform additional quality inspections. To track them in Microsoft Dynamics 365 Finance & Supply Chain Management, users can manually create quality orders using the New button in the Quality orders form (Advanced quality management> Quality management > Quality orders).

To guarantee control over the manual creation of quality orders, it is possible to limit the list of test groups selectable upon creation to the ones suitable for the item to be investigated.

Pharmaceutical companies must have maximum control over the Quality Management process and are sometimes required to execute additional investigations and quality controls (e.g., retesting). Life Sciences Quality Control & Assurance module allows to define the list of test groups available for a specific item during quality order manual creation.

When the Control test group on manual quality orders parameter is enabled (Life Sciences Quality Control & Assurance > Setup > Life Sciences Quality Control & Assurance parameters), users can only choose test groups linked to active “Inventory” quality association for the item to be investigated upon manual quality order creation.

Reduced testing for manual quality orders

In case a reduced testing policy is in place, if the additional inspection is a full testing (i.e., all tests are performed) it may influence the counter. For example, let’s consider a reduced testing policy perform a full testing for one batch every 10 received. The first three batches are received and the following quality orders are automatically generated:

  1. QO-000901 – Full testing for batch BN001 (Batch counter = 1)

  2. QO-000902 – Reduced testing for batch BN002 (Batch counter = 2)

  3. QO-000903 – Reduced testing for batch BN003 (Batch counter = 3)

The third batch received requires additional inspections, therefore a manual quality order is generated as a full testing. Users need to be able to specify whether the manual quality order will impact the counter in order to determine the following generation of full/reduced quality orders.

Upon quality order creation, users can enter the following information:

  • Reference type – “Inventory”. The reduced testing for manual quality orders is only applicable to “Inventory” quality orders.

  • Item number

  • Test group

  • Item sampling

  • Quantity

  • Batch number – Batch that requires the additional inspections (the third batch received according to the example above).

  • Vendor – Inherited from the batch number (not editable).

  • Manufacturer – Inherited from the batch number (not editable).

  • Include in counter

    • If enabled, the manual quality order affects the batch counter and it’s generated according to the batch status. According to the example above, a reduced quality order is generated as reduced and the batch counter is updated to 4.

    • If disabled, the quality order does not affect the batch counter. A full quality order is generated and the batch counter is not modified.

  • Reduced test group – If the Include in counter parameter is enabled, the user must select the Reduced test group to define which batch counter will be affected (e.g., based only on the vendor, only on the manufacturer or both).

  • Force full testing – If the Include in counter parameter is enabled, users can decide to affect the batch counter and force the generation of a full testing by enabling the Force full testing parameter. According to the example above, a full quality order is generated for batch BN003 and the counter is updated to 1 and the Last batch fully tested is BN003.
