Advanced batch numbering

The batch number for raw materials and manufactured products may need to be automatically assigned by the company based on predefined rules, for example, to include information such as manufacturing/receiving site and manufacturing/receiving date.

Life Sciences Supply Chain Management extends the Tracking number groups form (Inventory management > Setup > Dimensions > Tracking number groups) by providing the capability to:

  • Include Item number and Site in the batch number.

  • Specify the Date format (for example, YYYYMMDD, YYMM, YYWK) in case the Date is included in the batch number.

  • Configure the automatic reset of the batch number sequence based on a predefined frequency (that is, never, daily, weekly, monthly, or yearly).

  • Select the Separator to be used between the numbers composing the batch number.

  • Generate the batch number for produced material depending on the batch order Status (that is, when a batch order is updated to the defined status, the system automatically generates a batch number and assigns it to the order).

Note

The Per qty. field must be left blank to keep the batch and sub-batch number generation function as expected.

Example

The Batch number group for item “RM001” is configured as follows:

  • Site is set to Yes

  • Date set to No

  • Item number set to Yes

  • Number sequence No. set to Yes, Number sequence code including format “###”

  • Reset number sequence set to Year

  • Separator is set to Hyphen

  • Production > Status set to Scheduled

Note

The maximum length of the batch number is 20 characters. If the batch number to be generated exceeds the maximum length based on the rules in the Batch number group for a selected item, the system will return an error message and abort the transaction (for example, purchase order registration).

If a production order is created for item “FP001”, in site “01”, when the order is scheduled the system generated the following batch number and assign it to the order: “01-FP001-###” (where ### is the next available number of the selected Number sequence code). For example, if the number sequence has reached number “122”, the next batch number generated for this scenario is “01-FP001-123”.

According to the Batch number group setup above, the number sequence is reset every year (that is, it restarts from “1” every 1st January).
