Set up data entry workflow history cleanup

You can clean up the data entry workflow history. You can do so, for example, to free up space or for GDPR compliancy reasons.

Designs and maintains data entry workflow templates. Manages data entry workflow template versions. Deploys data entry workflow templates. Start Start Define history cleanup settings on data entry workflow template Define history cleanup settings on data entry workflow template For each data entry workflow template, you can define the history cleanup settings. You can enable the cleanup of the: Staging data only. In this case: The field values and related field history of the applicable workflows are deleted. On the Workflows details page, in the Date cleaned at field, the cleanup date is entered. Tracking details as well. In this case, the applicable workflows are deleted, including the tracking details. Procedure 1. Go to Data entry workflow > Design > Data entry workflow templates. 2. In the list, click the link of the desired data entry workflow template. 3. Click Edit. 4. Select Yes in the Cleanup enabled field. 5. In the Period field, select an option. 6. In the Number of periods field, enter a number. 7. Select Yes in the Clean up workflow tracking details field. 8. Close the page. Notes If you clean up data entry workflow history, only workflows with one of these statuses are considered: Ended Error Cancelled Set up data entry workflow history cleanup batch job Set up data entry workflow history cleanup batch job To clean up data entry workflow history, usually, you run a recurring batch job. The history is deleted based on the cleanup settings of the data entry workflow templates. Procedure 1. Go to Data entry workflow > Periodic > Clean up history. 2. In the Template field, enter or select a value. 3. Sub-task: Set up batch processing. 4. Expand the Run in the background section. 5. In the Batch processing field, select an option. If Yes, also fill in the other fields. 6. Click Recurrence and fill in the fields as desired. 7. Click OK. 8. Click OK. End End

For each data entry workflow template, you can define the history cleanup settings.

You can enable the cleanup of the:

  • Staging data only. In this case:
    • The field values and related field history of the applicable workflows are deleted.
    • On the Workflows details page, in the Date cleaned at field, the cleanup date is entered.
  • Tracking details as well. In this case, the applicable workflows are deleted, including the tracking details.

To clean up data entry workflow history, usually, you run a recurring batch job.

The history is deleted based on the cleanup settings of the data entry workflow templates.
