For each document type perspective, you can set up the applicable text fragments. Use text fragments to add predefined texts to a document.

You can also group several text fragments in a text block. If you generate a document or email with a text block, the related text fragments are added together.

Standard procedure

1. Click Action and document management design.
2. Click the Document types tab.
3. In the list, click the link of the desired record.
4. In the Perspectives section, on the Overview tab, in the list, find and select the desired record.
5. In the Text fragments section, on the Text fragments tab, click New.
6. In the Text fragment field, enter or select a value.

Note: You can add a fragment only once to a perspective.

7. You can group several text fragments in a text block. For each text fragment that you want to add to a text block, enter the same text block name.
In the Text block id field, type a value.
8. Use the line number to define the sequence in which the text fragments are processed. This also defines the sequence in which text fragments within the same text block are added to this text block.
In the Line number field, enter a number.

Note: - If the number is 0, the fragment is not applied.
- Make sure the line numbers are unique.

9. If you group text fragments in a text box, you can indicate that the next text fragment must start on a new line.
Select the Append new line check box.
10. Close the page.

Notes

If you set up text fragments for a perspective of output type Email, add the text fragments to the related template. You can also add text blocks to the related template. The text fragments of a text block are applied in the sequence as defined by the line number.

Example:

Text fragment Description Text block Line number Append new line

Clause1 Clause 1 Clause 1 Yes

Clause2 Clause 2 Clause 2

Contact Contact information 3

Unsubscr Unsubscribe information 4

Template placeholders Added to table field
%Clause% [TextBlock.Clause]
%Contact% [TextFragment.Contact]
%Unsubscr% [TextFragment.Unsubscr]

In the email, for placeholder '%Clause%', text fragment 'Clause1' and 'Clause2' are both added. And because for text fragment 'Clause1' Append new line is Yes, text fragment 'Clause2' is added below text fragment 'Clause1'.
