Mass processing data entry workflow tasks

Mass processing of workflow tasks lets you manage data entry or approval for several workflow tasks at the same time.

Setup

To set up mass processing on the Data Entry Workflow template, configure the step fields.
You can enable mass processing only for steps of type Data entry or Approval.

For each step field, enable mass processing.

When a workflow task is created for such a step:

  • The task appears on the Data entry workflow management workspace, on the Mass processing tab.

  • The applicable fields appear on the Mass data entry page or Mass approval page.

Note

Several mass processing setup restrictions apply:

  • The Data Entry Workflow template can contain a maximum of 25 fields with mass processing enabled. This limit is set for performance reasons and applies across all steps.

  • You cannot enable fields for mass processing if the:

    • Field group has the Display mode set to Grid.

    • Field type is Virtual field, Document attachment field, or Picture field.

  • The step you want to mass process contains only fields for which mass processing is enabled. This applies to both data entry and approval steps.

Processing

You can process several data entry or approval workflow tasks at the same time.

Note

You can only do mass processing for workflow tasks that are based on the same Data Entry Workflow template and step.

Data entry

You can use mass data entry for several purposes:

Enter data

For several data entry tasks, fill in the fields for which Mass processing is enabled in the related step of the Data Entry Workflow template.

Review data

Review or change earlier entered field values for the fields for which Mass processing is enabled in the related step of the Data Entry Workflow template.

Complete task

Complete the shown data entry tasks. Based on the applicable Data Entry Workflow template setup, the next workflow task is created with the applicable assignment.

Note

You can only complete the workflow tasks if all mandatory fields are filled in.

Approval

You can use mass approval for several purposes. Depending on the step setup in the related Data Entry Workflow template, you can have these options:

For an approval step, on the Data Entry Workflow template, updating fields can be allowed (see approval step details, Allow to update field). If so, as an approver, you can change field values. You can only change field values of the fields for which Mass processing is enabled in the related step of the Data Entry Workflow template.

Approve

You can approve a selection of the shown approval tasks.

If you approve an approval task, the position of the approval step in the workflow defines the next action. If the approval step is:

  • The last step in the Data Entry Workflow, the workflow is ended, and the approved data is transferred to the target tables.

  • An intermediate approval, based on the setup of the related Data Entry Workflow template, the next workflow task is created with the applicable assignment.

Note

You cannot approve by field.

Delegate

You can assign a selection of the shown approval tasks to another user.

Reject

You can reject a selection of the shown approval tasks. As a result, for these tasks, the Data Entry Workflow is canceled. So, no next workflow task is created.
