A master record is a master data entity record that is subscribed to one or more companies. For these companies, the record serves as master data. You can send each new or changed master record to the defined companies.

For a master data record, you can edit the: Status Responsible data steward Subscribed target companies Related D365 F&SCM record Procedure 1. Click Master data management - Operation. 2. Click the Master data tab. 3. Sub-task: Change master data record status to 'Modify'. 4. On the Master data tab, in the list, find and select the desired master data record. 5. Click Status. 6. Click Modify. 7. On the Master data tab, in the list, click the link of the desired master data record. 8. Click Edit. 9. Sub-task: Change responsible data steward. 10. In the General section, in the Data stewards field, enter or select a value. Note: You can only select a data steward that is defined for the current company. 11. Sub-task: Change subscribed target companies. 12. Expand the Subscription section. 13. Click New. 14. You can select a company to create subscriptions to the master data record. You can select a company of type: Standard or External: Adds a subscription to the selected company only. Target group: Creates a separate subscription for each company in the target group, referencing the target group for clarity. Subscriptions are only created for target group companies without a subscription to the master data record. Hierarchy: Creates a separate subscription for each child company in the organization hierarchy, referencing the target group for clarity. Subscriptions are only created for organization hierarchy companies without a subscription to the master data record. The master data record is sent to the newly subscribed companies as well, but only if the subscription status is Released. In the Company field, enter or select the desired company or target group. Note: You only can add a subscription for a company that is set up in the Master data management companies. You cannot add a subscription for the current company. Make sure that, on the applicable master data entity, a message exists with the newly subscribed company as the target company. If you add a subscription for a company that belongs to a target group that is used in the related master data entity messages, the target group is added for reference purposes. 15. Click OK. 16. In the Subscription list, select the desired subscription. 17. Click Delete. Note: If on the master data entity a message is set up with the deleted company as target company, this message is not considered when you send master data. 18. Click Yes. 19. You can change the subscription status. For example, when a master data record is pulled from a source company, a subscription is added. You can change the status of the added subscription. In the Subscription list, select the desired subscription. Note: To change the subscription status for a target group or hierarchy, select all subscriptions associated with that target group or hierarchy. 20. Click Status, and click the desired next status. Note: If you change the master data record status, the subscription status is changed accordingly. Master data is sent only if the subscription status is Released. 21. Sub-task: Change related D365 F&SCM record. 22. On the Action Pane, click Available record. 23. Click View details. Note: If a dialog is shown instead of the record details, you can access the related record details page via, for example, the applicable menu or workspace. 24. Click Edit and make the desired changes to the record. 25. Close the page. 26. Close the page. Notes In Master Data Management studio, splitting target group subscriptions into separate subscriptions for each target group company, is introduced in the Business Integration Solutions 10.0.39.59 version. If you used target group subscriptions in earlier versions, run the 'Update the subscription groups by companies' upgrade script. This script splits your existing target group subscriptions into separate subscriptions for each target group company. To do so, click Master data management > Periodic > Upgrade > Update the subscription groups by companies. If subscriptions are created based on an organization hierarchy, you can view the master data record status in all parent companies in the organization hierarchy. To do so, click Related information, and expand the Parent hierarchy record status FactBox. Approve master record Approve master record You can approve the master data records that you have edited. For the master data entity, a validation can be defined. A validation is applied when you approve master data. If the master data is invalid, the master data is not approved. Example A validation rule with the BisMdmValidationCustomerBankAccount class is active for the master data entity. You try to approve a customer master data record which bank account is not defined. As a result, the customer master data record is not approved. So, you cannot release this customer master data record till you define its bank account. Procedure 1. Click Master data management - Operation. 2. Click the Master data tab. 3. In the list, find and select the record that you want to approve. 4. Click Status. 5. Click Approve. Release master record Release master record You can release approved master records.If you release a master record, it is added to the Master data inbox of the target company.You cannot change a released master record. Procedure 1. Click Master data management - Operation. 2. Click the Master data tab. 3. In the list, find and select the record that you want to release. 4. Click Status. 5. Click Release. 6. If the master record must be released on a future date, you can define the planned release date. The planned release date is shown on the Master data inbox. The master data messages, to send the released master record to the target companies or to the MDM staging journal, are only run if the planned release date is: - Not defined. - The current date. - A data before the current date. In the Planned release date field, enter a date and time. Note: On the master data inbox, the data steward of the target company can reschedule a master data record to another planned release date. 7. Click OK. Cancel released record? Cancel released record? Cancel master record release Cancel master record release You can change a master record after it is released. To do so, cancel the release of the master record. As a result, the status of the record is changed to Cancelled.You can again edit, approve, and release a cancelled master record. Procedure 1. Click Master data management - Operation. 2. Click the Master data tab. 3. In the list, find and select the desired record. 4. Click Status. 5. Click Cancel. Send master record Send master record Run the master data messages to send released master records to the target companies or to the MDM staging journal. All messages, as defined for the master data entity, are run.The master data entity messages process all Released master records of the master data entity. Procedure 1. Click Master data management - Operation. 2. Click the Master data tab. 3. In the list, find and select the desired record. 4. Click Send master data. Note: If you send MDM data for a master data entity, the master data entity messages process all Released master records of the master data entity. 5. Select Yes in the Use tracer field. 6. Sub-task: Set up batch processing. 7. Expand the Run in the background section. 8. In the Batch processing field, select an option. If Yes, also fill in the other fields. 9. Click Recurrence and fill in the fields as desired. 10. Click OK. 11. Click OK. You can approve the master data records that you have edited.

For the master data entity, a validation can be defined. A validation is applied when you approve master data. If the master data is invalid, the master data is not approved.

Example

A validation rule with the BisMdmValidationCustomerBankAccount class is active for the master data entity.

You try to approve a customer master data record which bank account is not defined. As a result, the customer master data record is not approved. So, you cannot release this customer master data record till you define its bank account.

You cannot change a released master record.

You can change a master record after it is released. To do so, cancel the release of the master record. As a result, the status of the record is changed to Cancelled.

You can again edit, approve, and release a cancelled master record.

Send master record

Run the master data messages to send released master records to the target companies or to the MDM staging journal. All messages, as defined for the master data entity, are run.
The master data entity messages process all Released master records of the master data entity.
