Set up email notification for form access

You can set up email notifications for when users or roles access specific forms in the application. This helps you monitor access to sensitive or business-critical forms.

The email notification is sent if:

  • An active notification rule exists for the form.

  • The user, or the role assigned to the user, matches the rule.

Note

If no active rule applies to the form, no email is sent.

Steps

  1. Go to Security and compliance > Setup > Email Notification Setup > Form access notification setup.

  2. In the Form access notification setup section, click New.

  3. In the Form name field, enter or select the form you want to monitor.

  4. In the Access type field, select an option.

    This field defines who triggers the notification:

    • Role: The notification triggers when a user with the selected role accesses the form.

    • User: The notification triggers when the selected user accesses the form.

  5. Select the Enable email checkbox to activate the notification rule.

  6. Select the CC user checkbox to send a copy of the notification to the user who accessed the form.

  7. In the Notification template email field, select the email template to use for the notification.

    You define email templates in System administration > Setup > Email > System email templates.

  8. Sub-task: Select roles.

    Note

    This step applies only when the Access type field is set to Role.

    1. In the Available roles list, select one or more roles.

    2. Click the arrow button to move the roles to the Selected roles list.

  9. Sub-task: Select users.

    Note

    This step applies only when the Access type field is set to User.

    1. In the Available users list, select one or more users.

    2. Click the arrow button to move the users to the Selected users list.

  10. Sub-task: Select recipients.

    Recipients are the users who receive the notification email.

    1. In the Available recipients list, select one or more users.

    2. Click the arrow button to move the users to the Selected recipients list.

  11. In the Justification field, describe the reason for the notification setup.
